Bookkeeping Basics: The Monthly Close in 7 Steps

A repeatable checklist that keeps small-business books tax-ready and makes financial statements actually useful.

Why a monthly rhythm matters

Books that are reconciled monthly take a few hours a month. Books left until tax season take days and hide problems: duplicate transactions, missed invoices, personal expenses mixed in. A short monthly close is the highest-leverage habit a small business can build.

The 7 steps

1. Capture everything

Connect bank, credit-card and payment processors (Stripe, Square, PayPal) to your software so no transaction is missing. Attach receipts for anything over $75.

2. Categorize

Assign each transaction to a chart-of-accounts line. Keep the chart short. Around 25–40 accounts is plenty for most small businesses.

3. Reconcile

Match the software balance to each bank and card statement to the cent. This is the step that catches errors.

4. Review receivables and payables

Who owes you? Who do you owe? Chase invoices over 30 days; schedule payables.

5. Record non-cash items

Depreciation, loan interest splits, owner draws, payroll accruals.

6. Review the statements

Read the P&L against last month and budget. Check the balance sheet for negative or odd balances.

7. Lock the period

Close the books so nothing changes after you have reported the numbers.

What "tax-ready" means

Reconciled accounts, separated personal spending, tracked fixed assets, contractor payments tagged for 1099s, and sales tax collected recorded as a liability, not income. If those five things are true, your return can be prepared straight from the ledger.

Cash vs accrual

Most businesses under $30 million in revenue can use cash basis for tax. Many still run accrual internally for better management insight. Your software can report both.

Tools we recommend

QuickBooks Online for most service and retail businesses, Xero if you prefer its interface, and a receipt-capture app connected to either.
